FM teams that receive IFC files without the property sets they need must either manually enter data into their CAFM system or abandon the BIM model. Both outcomes represent a failure of the BIM process and a loss of the investment made during design and construction.
Practical Guidance
Asset Register Data: FM teams need an asset register: every maintainable element with its asset tag, manufacturer, model number, serial number, installation date, expected service life, and warranty expiry. These parameters must be in the IFC as property sets, not in separate spreadsheets.
Spatial Model for Space Management: FM space management tools need accurate room geometry: room number, area, department, floor, and building. The IFC spatial hierarchy (IfcSite, IfcBuilding, IfcBuildingStorey, IfcSpace) must be correctly populated and all rooms must be present in the handover IFC.
Maintenance Zone Data: Group maintainable elements by maintenance zone or access route in the IFC. Property sets that identify maintenance zone, access door number, and service shutdown zone allow FM teams to plan maintenance efficiently without physically inspecting the building first.
CAFM System Test Import: Always perform a test IFC import into the client's CAFM system before formal handover. Test imports reveal property set mapping issues, element classification errors, and missing required fields that can be corrected before handover completion.
